CHARDONNAY COUNCIL OF CO-OWNERS
BOARD OF DIRECTORS MEETING
NOVEMBER 15, 2007


The meeting was called to order by President Bill Frambes at 7:00p.m.
The meeting opened with the Pledge of Allegiance to the Flag and a prayer by Paul Ford.
Attendance: Officers — Bill Frambes, Ned Barnes, Paul Ford and Marge Rauch present.
Alan Hahn was absent. Lydia Barrett of Towne Properties, present.
Bill gave a report on Alan, who is hospitalized, and wished him a speedy recovery.
Twenty one members of the community were present.
Minutes of the September 20, 2007 meeting were presented for approval. A motion to approve was made by Ned Barnes and second by Paul Ford, Motion carried.
Reports:
Officers: none
Management:
Lydia reported that the Napa Valley sign is still being worked on due to some design changes. Insurance bids and hiring of new cleaning company will be discussed when the budget is presented. The fitness equipment has been checked. Smoke detector batteries have been changed. There was a meeting with the attorney to check on leases and if any rentals were present. The Community allows only five leases.
Committees:
• Chain Gang — Barb Cuip — see attachment.
• Social — Lola Bennett for Pat Rummel — see attachment
• Welcome — Judi Hahn sent report that all phone books have been delivered. Future additions and deletions will be published in the Grapevine.
• Pool Committee — no report
• Landscape Committee — The landscaping behind the clubhouse has been completed. The plants that were taken out have been transplanted around the storage building.
• Architecture and Maintenance Committee — Chuck Gerhardstein is the new chairman. He reported repairing a short in a lamp-post wiring. Repaired hoses and some holders. Replaced many light bulbs in the clubhouse, porches and garages.
• Finance Committee —Bill reported Alan worked extremely hard on the budget along with the finance committee. The budget will be presented under new business.
Old Business:
• The update of policies —The paperwork was reviewed by the Board and community volunteers. A meeting is scheduled for November 29 when the Board will finalize the changes. The documents will then be given to Ron Cuip to be published into a new Welcome book.
• Bill reminded every one this is the last regular meeting for this Board. Alan Hahn, Marge Rauch, Bill Frambes have completed their term, and Paul Ford is resigning at the end of the year. He thanked the Board, who with the cooperation of the owners, have had a great year in making this community what it is.
• Judi Hahn has resigned from the Welcome Committee effective at the end of this year. There is a need for a chairman of this committee.
• The Napa Valley Street sign has been redesigned. Therefore the cost has increased by about thirty dollars. A new motion to pay$223.O0 for the sign was made by Paul Ford and second by Marge Rauch, Motion carried.
• Ad Hoc Nominating Committee —This committee was chaired by Rhoda Wheeler with Dave Trowbridge and Barb Cuip as members. Dave read the committee report. A slate of six candidates was presented. Ken Allen, Lola Bennett, Janet Krebs, Madeline Ruf, William Frambes, and Betty Ann Freemal. Dave stated that nominations are still open to any one else at this time.. Resumes will be published and a meet the candidates’ night is scheduled for December ii, 7:OOp.m.at the clubhouse.
• Bill complimented the committee on the number of candidates, six for the four positions. This shows a great interest in the community being willing to be involved. The three candidates receiving the highest vote count will serve two year terms, the fourth highest will serve the one year term.
Floor Open to Owners:
• Members liked the Meeting agendas that were passed out at the beginning of the meeting.
• Copies of a community map, identifying the building numbers, were made available since the use of these numbers can cause confusion.
• A question was asked about the ballot at the annual meeting. Bill said the ballot will have lines for four names at the annual meeting. An absentee ballot can be obtained from Towne Properties and returned to them before the meeting, or a Proxy can be given to anyone to vote in your absence. That person will be given a ballot and counted in the Quorum. Fifty owners or proxies must be present to have a valid meeting and vote. Lydia will be sending a letter 30 days before the meeting to everyone with resumes of the candidates, the date and time of the meeting and an explanation of the voting process. If a member’s condo fee is delinquent on the date of the annual meeting they will be unable to vote.
New Business:
• Front door handles — Schiage responded to questions concerning the finish on front door handles. The company said the warranty request must be presented by the original owner of the unit with the Condominium closing paperwork. This would work for the original owners of the Villas but not the common entrance of the Terrace Buildings. Common entrance handles has been found to be a Sargent brand and not Schlage. This will be studied further.
• Landscape Irrigation bid — The Landscape committee was asked to get bids for irrigation of common areas since this year the irrigated areas have survived well. The bid for the left side of Chardonnay drive was $5000.00, the right side of the drive was $7000.00 plus $750.00 for a water meter. Next year’s Board will make this decision.
• Condo Fee late charges - $20.00 has been the late charge fee, after the 10th of the month, since the inception of this community. The Board has decided to raise this late charge. A motion to make the late charge $35.00 beginning Januaryl, 2008, was made by Ned Barnes and second by Paul Ford. Motion carried.
• Clubhouse thermostat- needs to be moved into the meeting room instead of the fitness room. This will provide better control of heating and cooling of both areas. A bid will be obtained.
• 2008 Chardonnay Budget —Copies of the budget was given to all present. Bill presented the budget item by item and discussed each. He said the five years since the turnover from Fischer has only averaged 1.8% yearly increase. A copy of the Budget is attached and represents a 5% increase for 2008. A motion to accept the 2008 budget was made by Marge Rauch and second by Paul Ford. The motion carried. A late bid was received from C.A.U insurance and will be reviewed to see if it represents a substantial savings. If it does an adjustment to that item will be made.
• Next Board Meeting date will be set by the new Board.
Being no further business the meeting was adjourned at 8:40p.m.
After a short recess an Executive meeting followed to review late fees and receivables.

CHAIN GANG REPORT

The Chain Gang entertained approximately 35 people at their Pancake Breakfast on November 3rd• This event gets bigger and better each year
which makes the ladies very happy.
We are now planning the 4th annual Women’s Christmas luncheon which will be held at the clubhouse on Monday, December 10th at noon. Cost is $10.00 and reservations must be made by

December 3 by calling Nancy Trowbridge or Barb Cuip. Bring a $5.00 ornament to exchange and since seating is limited to 40, make your reservations early so you can enjoy this gala affair.
Any proceeds realized from the luncheon will be used to keep the clubhouse stocked with needed items, to keep flowers adorning the patio next spring, or any other needed projects to enhance our comfortable living at Chardonnay.

Report to Board November 2007
NIGHT UNDER THE STARS — what a beautiful night! We lucked out, the rain ended the day before and we a nice cool night. We also had a few new faces show up, which was great! We had snacks, drinks and even a fire pit that we used for roasting marshmallows for s’mores. There was music, dancing and even a little bit of karaoke. This turned out pretty good since it was a last minute decision and the first time to do this. Maybe we can repeat this again next year.
MONTE CARLO NIGHT - brought out a few more new faces! We had a great time, all the tables were full. Bill Frambes was dealing at a red-hot poker table and stakes were high! Joe Malloy was having a run of luck and was one of our big winners that night. We had a second poker table being dealt by Lola Bennett and a second Texas llold’m dealt by myself, Pat Rummel. Dave Trowbridge was dealing at the other Texas Hold’m table, which was full the whole night. Bob Wheeler was winning pretty well at his table. Jerry Lehkamp started off dealing the Black Jack table, which always draws a crowd. Bob Wheeler gave Jerry a break later that evening. Dwain Bowling had another hot player at his dice table. Rhoda Wheeler came out with cash in her pockets to take home and I think Judy Bowling was doing pretty well at the dice too! At the end of the evening we exchanged the funny money for the real thing and quite a few people went home with some of their money back, which wasn’t bad for having four hours of fun. Monte Carlo Night is one of our yearly events, so look for it again next year. We had a few door prizes donated by Jerry Kramer owner of the Bluegrass Carryout and Pat Rummel.
The Food Drive for the St. Bernard Parish Kitchen in Dayton, Ky. is currently going on. Collected items will be dropped off before Thanksgiving.
The Thanksgiving Dinner will be tomorrow (November 16th) at 6:00 p.m. The Social Committee will provide turkey, dressing, gravy and drinks. Attendees will bring a covered dish to share.
The Christmas Gift Exchange will be Friday, December 14th, 7:00 p.m. Everyone should bring a $5.00 gift and appetizers to share. The Social Committee will provide drinks for everyone.
The Committee plans to have 9-10 events in 2008. A Valentine Dinner on February 81h is the first scheduled event.
The Committee currently has eight members and is always looking for others to join!

FROM YOUR SOCIAL COMMITTEE
START THINKING AUCTION!!!


Yes we’ve decided to have another auction this coming year. I know this is pretty much ahead of time since the auction is set for next August, but the early bird catches the worm and we’re hoping to catch you before you get rid of those things you don’t want when your remolding, cleaning out your cupboards or just tired of looking at. So hold on to it, put it in a box and set it aside. If you really don’t have room to keep it, contact someone on the social committee and we’ll come pick it up.
If you were here two years ago when we had our first auction it was lot of fun. This year it will be open to you, family and friends. Besides bidding on our larger items we had five tables of smaller items that were open bidding. All items donated should be in good shape. All monies made from this auction will be put back into our community. Our profits from the last auction went towards our new patio, and the new binders for the telephone books.
As in all our functions, the profits go back into our community, usually in the way of food, supplies and decorations and etc. The Board, Social Committee, Landscaping Committee, Pool Committee and the Chain Gang work very hard at keeping Chardonnay the best place to live, socialize and have fun! We’d really like to see more of our neighbors get involved with the community. This could be by serving on the Board, one of the committee’s or just by attending the functions. So don’t be shy, we welcome everyone with open arms.
