BOARD OF DIRECTORS MEETING
MARCH 04, 2008

The meeting was called to order by President Madeline Ruf at 7:00 pm

The meeting opened with the pledge of allegiance to the flag and prayer by Bill Frambes.

Attendance: Board Members Madeline Ruf, Bill Frambes, Ned Barnes, Lola Bennett and Ken Allen.
Towne Properties: Lydia Barrett
Twenty two (22) members of the community were present.

The minutes from the November 15, 2007 were approved.

Officers Report:
Madeline Ruf thanked the Chain Gang for the refreshments and Rick Eaglian for obtaining the Elks hall for the annual homeowners meeting in January. She reported that thank you cards from the board had been sent to the people who donated door prizes. Ms Ruf reported that a total of 78 owners attended the meeting. There was a total of 87 votes (52% of homeowners) 55 in person, 16 by proxy and 16 by absentee ballots.
Bill Frambes thanked all the owners that helped the Chardonnay Community.
Ned Barnes talked about starting a stag night for all the men of the community.
Lydia spoke on late fees and all other fines, garbage problems, and the spring walk which is scheduled for April 7th.

Committee Reports:
Landscape - Daryl Moore reported that he was meeting with the past landscape chair and reviewing the plans developed for 2008.
Social - Lola Bennett reported that the Valentine Dinner was a success. The next event will be the Derby day party at the clubhouse May 3, 2008.
Welcome - Mary Gerhardstein stated that she is getting organized and request that everyone continue to let her know of any sickness or deaths in the community.
Pool---Bob Wheeler stated that the pool is closed but that we will need to replace some of the umbrellas before the new season
Architect - Chuck Gerhardstein (superman) says he has some 8 projects he is working on and gave the board a list.
Chain Gang - Barbara Culp reported that The Chain Gang is and will continue to be very active for the Chardonnay Community.
Finance - Bill Frambes reported for Allen Hahn who was on vacation, a $12,000 dollar insurance payment put January in the red, but an adjustment over time put the loss at about $2,000.00. Bill said we have a strong fund in the reserve and he went into details about the reserve monies.


OLD BUSINESS:

Golf Cart: Ms Ruf discussed the purchasing of a used golf cart with a large cargo box for $2,875.50. The cart will be stored in the utility building. Chuck Gerhardstein is building a ramp for the utility building. A motion was made by Bill Frambes to purchase the cart, seconded by Lola Bennett. The vote was unanimous.
Irrigation System: Ms Ruf reported the board had discussed the irrigation system to be put in both sides coming up the hill at the entrance. The cost would be $5,000 dollars to complete the left side and $7,000 dollars plus $750.00 dollars for a water meter to complete the right side. After discussion the board has decided to irrigate the left side only this year. A motion was made by Bill Frambes and seconded by Ned Barnes to pay for the left side only to be done in 2008. The vote was unanimous to irrigate the left side of the entrance drive at a cost $5,000.00. The landscape chair will follow up on this action.
Condo Front Door Handles: The chairman of the architect committee is getting information on the replacement of the sergeant handles and this will be followed up at the next meeting.

FLOOR OPEN TO THE HOME OWNERS:
• Jerry Lehkamp reported areas that need to be checked on the spring walk. He also had question related to the insurance bill.
• Bob Wheeler reported that we may need a pump for the irrigation systems on the left side of the drive and thinks this was included in the bid. Bob also had questions about the phone at the side of the clubhouse and asked do we really need it while the pool is closed. Ms Barrett will check the cost with Cincinnati bell regarding a 911 phone only. Door bell repainting was discussed and more info is needed, including the possibility of re-plating them.
• Bob Kremer had many concerns: calls not being returned when made to Towne Properties, rules that are broken sometimes and not taken seriously and cars parked without proper tags. The board has reminded everyone if they see a rule being broken report it promptly.
• Mary Gerhardstein thinks that maybe some roofs on the earliest built buildings need to be replaced. Homeowners were advised by Mr. Frambes that the cost would be approximately $20,000.00 per building.
• Janet Krebs said she had ice problems when she rented the clubhouse. A discussion was held regarding who is responsible for clearing the walks around the clubhouse. Bill Frambes reported that we spent $14,000.00 dollars in just a few days to remove thick ice a few years ago. He said this is expensive, while the salt compounds are not perfect they will do the work, Snow shoveling and salt spreading are purely voluntary, and God bless the owners who do this. At this time there were no more questions and the floor was closed.


NEW BUSINESS:
Ad Hoc Committee: Ms. Ruf recommended that the previous board members who had started revising and completing the welcome book be named to the committed. This committee would also develop guidelines on how to maintain changes and distribution of the Welcome Book. A motion was made by Lola Bennett and seconded by Ned Barnes that the committee be approved. The vote was unanimous.
Exercise Equipment: Bill Frambes is getting information and quotes for replacing the broken weight lifting equipment in the exercise room. This will be followed-up at the next board meeting.
Holder for wipes in the exercise room: The chair of the architect committee has obtained wipes and placed in the exercise room.
Book Shelf/Case for the Club House Hallway: Ned Barnes states he has a book case he wishes to donate to the clubhouse whenever he finishes giving or donating the books presently on the shelves.
Sign for Board Meetings and other activities: Ms Ruf discussed the purchasing of a sign that would be posted at the entrance by the stop sign. This sign would be used to post board meeting dates and times as well as other activities of the community. The appropriate sign and cost will be researched. This information will be presented at the next board meeting.
Fence around window well openings: The chair of the Architect Committee has researched the cost of this project. The cost to fence the window wells of 7 buildings would be approximately $8,900.00. No action taken on this item.

The meeting was then adjourned at approximately 8:40 pm.
Next Board meeting will be April 17, 2008

The board went into executive session after a short recess.
