Board of Directors Meeting
January 4, 2007

The meeting was called to order by Bill Frambes, President at 7:02 p.m.
After the Pledge of Allegiance, Alan Hahn began the meeting with a prayer, followed by a moment of silence in memory of Carol Hungler.
Attendance was taken. Present: Bill Frambes, Marge Rauch, Alan Hahn, Jim Remley and Dave Munro, Property Manager from Town Properties. Absent: Gerri Kortekamp, on vacation.
Bill announced that Dave Munro will be leaving and Lydia Peeno was introduced as our new Town Property Manager. Dave will attend the annual meeting and will be available to Lydia on an advisory basis.

Approval of minutes – deferred due to absence of the Secretary.

OFFICER REPORTS:
None
MANAGEMENT REPORT
Dave Munro asked all in attendance if the Annual Meeting and coupon mailings were received and were correct. No problems or complaints were voiced by those in attendance.

COMMITTEE REPORTS:
Welcome Committee…. Judi Hahn gave report and submitted a written report (see attached)
Pool Committee…. Barb Culp reported pool closed – no report
Chain Gang…. Barb Culp gave report and submitted written report ( see attached)
Social Committee…. Judi Hahn gave a report of activities since last meeting which were the Thanksgiving dinner and the Christmas party. No activities are planned for January. A Valentine Banquet is planned for Feb. 9 with catering at $10 per person, reservation required.
Landscape Committee…. Beth Maggard is on vacation – no report.
Financial Committee…. Alan Hahn reported a savings of approximately 15% of the budget for this year. $41,391.40. ( see attached report)
Architectural & Maintenance Committee…. Dave Trowbridge reported on the completion of the patio installation. Memorial blocks will be installed around the parameter by the company. The signs at Vina Vista and Chardonnay entrance were repaired and replaced by Chuck Gerhardstein. Club house closet doors were repaired with the help of Bob Wheeler. The bid for a 3x5 pad for the grill, next to the patio, was too high. Committee will explore other options. Lights that were out have been replaced. Plans for a storage shed, at the end of Vina Vista, are in progress. Thanks toBob and Rhoda Wheeler for donation of the cabinet under the T.V. Thanks for manger donations go to Evie Smith, the Frambes, Wheelers and Malloys. Thanks to Bob Wheeler for the community Christmas décor. Christmas decoration will be removed in January.
OLD BUSINESS:
Chardonnay streets turnover update…. Bill and Jim met with the Fischer Group. Fischer could not be of much help but did remind us that two of the three failed compaction areas were in the portion of the street at the entrance of Chardonnay already in the Cold Spring system. The third area is on Sonoma and is subject to very little traffic. Bill has talked with Dave Guidugli who will talk with City Council and set up a meeting before the City Caucus on Feb 12. Northern Ky. Planning have lost all inspection records of these streets. Attorney, Mike Duncan, has advised against entertaining a lawsuit unless absolutely necessary and all else has failed.

Painting Update….Buildings 1-2-3-17 have been painted, except for front doors which have oil based paint and weather is too cold for adherence. These will be painted in the spring.

Patio…. A motion to pay Brickman Co. $6075 for patio installation was made by Alan Hahn and seconded by Jim Remley. Motion carried. Chain Gang is to handle funds and memorials.

Storage Building…. A motion to build a 12x16x13 storage building with a loft, window and two doors costing $4600 was made by Alan Hahn and seconded by Jim Remley – motion carried. Location of the building will be at the end of Vina Vista. The exterior will be painted to blend in with the rest of community.

Annual Meeting…. Bill encouraged all to attend. A quorum of 50 is required for the election of new board members. Proxy votes do count for quorum. Absentee ballots do not. Prizes, snacks and drinks will be provided by the Chain Gang. One month free Condo fee will be given by the Board. You must be present to win.

Nominating Committee…. Thanks to Jim Remley, Ann Kendall, and Gerri Kortekamp for the slate of four candidates to run for the two offices to be vacated this year by Jim Remley and Gerri Kortekamp.

Parking Areas Spots on Cars….Inspection by Bill and Vince from T.R. Gear think possible cause is pollination of the holly in these areas. If after further research this is true hollies will be removed.

FLOOR OPEN TO OWNERS:
Nancy Trowbridge asked about what to do with the money donations made to the memorial fund. Dave said it could be placed in the Landscaping reserve fund with Town Properties. Checks should be made to Chardonnay Council of CO-Owners.
Jan Grefer reported no notices were posted in her area that interior painting would be done. Wreath hangers were not removed but painted around. Town Properties will check on this.
Street light out in front of Muellers. – This was reported to Town Properties 2 weeks ago by Bill.

NEW BUSINESS:
Internal hall painting…. A motion to pay $6800 for interior painting of buildings 1-2-3 was made by Marge Rauch, seconded by Alan Hahn, motion carried

Clubhouse Coordinator Fee…. Bill introduced Rhonda Brandt who will take the position for the next four months in Rhoda’s absence. Rhonda read the clubhouse activity report for Nov. and Dec. written by Rhoda Wheeler. Report is attached. After an explanation of all the activities for which the coordinator is responsible. A motion to pay $60 per month to coordinator, regardless of rentals, was made by Alan Hahn and seconded by Jim Remley. Motion carried.

Accident Ins. Claim….Bill obtained accident report for damage to entrance sign and landscaping which occurred Dec. 9. Progressive Insurance will pay T.R.Gear $300 to move stone and repair landscaping. Time and material in the amount of $330.34 will be received for sign replacement.

Simplex Grinnell Fire System…. A motion to accept a 5 year inspection contract for $931.62. (11/2/06-11/1/11) was made by Marge Rauch seconded by Alan Hahn. Motion carried.

Thanks….The Wheelers were thanked for the donation of the cabinet under the T.V. Also thanks to Dave Trowbridge for customizing it with shelves.

Parking…. It has been understood, as a courtesy, the area in front of Terrace buildings was for lower condo residents without garages. One car per unit. There is no reserved parking, as this area is deeded common area. If a problem, residents are to work out solution.

Next Board Meeting…. Will be determined by next Board.

Being no further business meeting was adjourned.

A short executive session followed to discuss delinquent accounts.

CHAIN GANG REPORT

JANUARY 4, 2007

On December 11, the Chain Gang held their annual Christmas luncheon which was enjoyed by 34 ladies. Delicious food and a fun ornament exchange was enjoyed by everyone.

Final plans and regulations are being made to establish a tribute to the residents who have died while living at Chardonnay. More details will be coming soon.

Our next service project will be to host the annual meeting at the Elks Lodge on January 16 with soft drinks and light snacks.

Join the Chain Gang on Mondays at the clubhouse at 12:30 pm. Feel good about participating in our service to the community, and as an added bonus, have lots of fun.

Report to the Board – January 4, 2007

Welcome Committee

Since the last board meeting, we have welcomed one new family to our community – the Sniders at 112 Sonoma.

Also, since the last board meeting, the Welcome Committee has sent out 6 get well cards and 1 condolence cards, and made one memorial contribution.

I would like to thank my committee – Evie Smith; Anne Kendall; Carolyn Ford; Gail Hewitt – for their help this past year. I am looking forward to another year of working with these ladies.
