CHARDONNAY COUNCIL OF CO-OWNERS
BOARD OF DIRECTORS MEETING
APRIL 17, 2008

The meeting was called to order by President Madeline Ruf at 7:00 pm
The meeting opened with the pledge of allegiance to the flag and prayer by Bill Frambes.

Attendance: Board Members Madeline Ruf, Bill Frambes, Ned Barnes, Lola Bennett and Ken Allen.
Towne Properties: Lydia Barrett
Ten members of the community were present.

The minutes from the March 4, 2008 were approved.

Officers Report:
Officers – No reports
Management - Lydia Barrett reported the carpet cleaning for the Terrace Buildings would be done the week of May 5th. She stated some homeowners were still in violation of bird feeders on their deck. She discussed the findings of the annual spring walk and stated letters had been sent to homeowners in violation of Chardonnay policies.

Committee Reports
Landscape - No report
Social – Lola Bennett reported for the social committee. She stated that Pat Rummel will be returning and providing the report for the next meeting. Lola stated that the next social event would be the Derby party on 5/4 @ 4:00pm. Also, the pool opening party would be 5/24/08 and the flag raising ceremony on 5/26/08. She also reminded the board that the White Elephant auction is scheduled for 8/15/08.
Welcome – No report
Pool - Bob Wheeler stated that the pool has been cleaned and filled. The filter is not yet working. The pool furniture is out and will be cleaned. Nine umbrellas were purchased for $29.00 each. Bob also stated that the grill is back and is available for use.
Architect – No report however the board noted how the recently purchased golf cart was making repairs and moving furniture much easier.
Chain Gang – No report
Club House – Ms. Ruf read a March, 08 report prepared by Rhoda Wheeler. The Club house was used eighteen times with a total income for March of $230.00.
Finance – No report however Lydia did give a budget summary report in Mr. Hahn’s absence

OLD BUSINESS:
Exercise Equipment: Bill Frambes is in the process of getting bids for replacing the broken weight lifting equipment in the exercise room. This should be accomplished by our next board meeting in June.

Welcome Book: Ned Barnes reported that the Welcome Book ad hoc committee is completing the proof reading process. There is a meeting scheduled for the committee to meet on April 25, 2008.
Portable sign for meetings and other activities - The board unanimously approved the purchase of the sign for $173.95. The motion was made by Ken Allen and seconded by Lola Bennett. Lydia was given an e-mail copy of the information and requested to order the sign.
Ladder and Fence around the window wells in the Terrace Buildings - Chuck Gerhardstein obtained a quote from Alumina Railing Products, Inc for $8,900.00. This item will be tabled and considered in future budgets.
Door Handles (on Terrace buildings) – Mr. Gerhardstein obtained a quote of $1,944.00 for 21 lever vestibule lock, using existing cylinders and keys. This item was tabled until we have some extra money.
Door Bell Panels (Terrace Buildings) – President Ruf reported that the A&M people reported that cleaning them has had some positive results. No further action on the item at this time.
Spring Walk - Lydia Barrett presented the board with a written report which covered findings on the spring walk. Refer to the above management report.

FLOOR OPEN TO THE HOME OWNERS:
• Jerry Lehkamp was concerned that there was no financial report presented. He stated that a report should be given at every meeting because of its importance. Lydia Barrett did give a brief summary report. Mr. Lehkamp also was concerned about the cost of snow removal. He would like any balance of funds to be carried over each year however was told by that this would be against standard accounting policy.
• Bob Wheeler had a complaint about the club house paint job.
• Janet Krebs spoke on the need to control mold on outside a/c units and the need for more gravel around them.
• There was a long discussion on speeding and parking problems in our community. Some suggestions made were for signs, fire lanes and articles in the Grapevine.

NEW BUSINESS:
Phone outside the Club House – A motion was made by Bill Frambes and seconded by Lola Bennett to continue this phone to be 911 and local calls only. The cost per month will be $46.25.
Painting of buildings (2 possibly 3) – Lydia Barrett has obtained a proposal from Paramount Painting, Inc for Buildings 1400-1402 and 1600-1701. The proposal was $4,860.00 for each building. Ms. Barrett will be obtaining a proposal for a 3rd building 900-914.
Cleaning and re-staining wood fence between Chardonnay and Furniture Fair. A quote from Paramount Painting has been obtained for cleaning and staining the fence for $2,910.00.

Grapevine Editor – Ron Culp who has been the editor for approximately 2 yrs has resigned. Anyone interested in being the editor is encouraged to contact a board member. The board wishes to thank Ron for his dedication in publishing the Grapevine.
